Getting started with your receptionist

Prepare business information, agree your call flow, review a ready-made setup, and test a complete request before taking live calls.

Start with the calls you want to handle.

Before choosing settings, agree the business outcome: answer routine questions, take a callback, collect quote details, or capture service requests. A focused first call flow makes the setup easier to review.

Who: owner or business adminHave ready: public facts, intake needs, staff handoffs
  1. Prepare the information callers may hear.

Write down the business name, opening hours and timezone, service area, services, and common questions. List anything the assistant should leave for staff to confirm, including final prices and appointment availability.

  2. Agree responsibilities with BrackerTech.

For a managed service, we arrange the hosting and phone setup with you. For a private deployment, your IT team and BrackerTech agree the host, connectivity, maintenance, and recovery plan. Confirm who owns request follow-up and which people may receive transfers.

  3. Open your private business workspace.

Use the workspace link and account supplied during onboarding. This documentation site is public; the workspace requires sign-in. If an additional access check is configured for your installation, complete that before the workspace login.

  4. Review Business details.

Save the public information, opening greeting, and what to collect from callers. An admin can also configure human transfer destinations and quote notification preferences. Follow the business details guide for the exact controls.

  5. Choose a starting point in Set up assistant.

Review a ready-made setup such as Reception & requests, Quote request intake, or Service request intake. Check the selected assistant, the instructions, the questions, and any record access before applying it. Simple callbacks and enquiries can work without adding request tables.

  6. Check the route, then make a real test call.

Under More tools → Call routing, preview who answers an outside or withheld number. Then call the configured business line, listen to the greeting, ask a business question, leave a clearly labelled test request, and agree its contact details. Open the saved request and complete a test follow-up. A routing preview does not place a phone call.

Expected result

Your receptionist gives the approved first hello, answers from your business information, and saves a request your team can find and act on. Staff know who will check the inbox and handle follow-up.

A useful first-call checklist

  • The business name, hours, and service information are correct.
  • The caller can decline optional email collection.
  • The agreed callback number and request details are saved accurately.
  • A configured transfer reaches the intended person, with a callback path if nobody answers.
  • A quote email arrives when quote alerts are enabled and connected.
  • A staff member can review the request, save notes, and update its progress.

If something is wrong, record the approximate call time, what you expected, and what happened. Use the saved request or call history to help BrackerTech investigate.

Keep the first setup focused.

You can add specialist assistants, product catalogues, more detailed questions, and staff PIN access as the business needs them. Review each change with a new test call before relying on it.
