Keep your service working for your team

Manage quote email alerts, understand workspace roles and data boundaries, and agree support and maintenance responsibilities for managed or self-hosted reception.

Enable and check quote email alerts.

Quote alerts notify your designated staff recipient when a quote request is saved. The delivery service must be connected by your operator, and a business admin must enable the preference in the workspace.

  1. Open Business details.

Find Quote request email alerts. Select Email me when a new quote request is saved and enter the inbox in Email address for quote alerts. Use an inbox you own or whose owner agreed to receive these operational alerts.

  2. Select Save business setup.

If the page says email delivery needs operator setup, saving the preference alone cannot send an email. Ask BrackerTech or your service operator to finish the connection.

  3. Send a test to the saved address.

When enabled and connected, Email alert activity includes Send a test email to the saved address. The test creates no customer quote. Wait for it in the receiving inbox and check spam if necessary; the workspace limits repeated tests.

  4. Read the activity result accurately.

Accepted means the email provider received the message. It does not guarantee inbox delivery. A failed or uncertain alert needs review, while the original request stays saved for staff follow-up.

Expected result

The chosen recipient receives a test. New saved quotes from phone or website can then queue the same operational alert. Staff still review the request and decide how to respond.

These are quote-only notifications. The setting does not automatically email every callback, service request, or general enquiry, and it does not email the caller. To stop alerts or change the recipient, update and save the preference here. Text alerts need a separate provider setup and are not assumed to be active.

Know what your workspace role allows.

RoleTypical responsibility
Business adminMaintain business information and follow-ups; manage assistant access, routing destinations, request schemas, public-form publication, and notification preferences.
Business editorMaintain ordinary business information, permitted assistant instructions, contacts, records, and request progress or team notes. Access-sensitive controls remain with an admin.
View onlyReview the workspace information available to the account. Ask an editor or admin to save changes.

Workspace accounts and sign-in access are provisioned by the service operator. There is no public customer registration flow. Contact BrackerTech or your designated administrator when staff access needs to change. A browser account and an enrolled staff caller are separate things.

Keep public information and private work distinct.

  • Public business information and public form questions must be suitable for callers and visitors to see.
  • Contact details and saved requests belong in the protected business workspace. Quote alerts copy the saved contact details and summary to the designated staff recipient.
  • Team follow-up notes stay in the workspace and are not sent to the caller or voice model.
  • Assistant table access requires explicit permission. Read access can expose every record in a table to that assistant’s callers.

Telnyx provides call connectivity and OpenAI processes conversation audio and the context sent to it. Self-hosting puts the application and local records on your infrastructure; it does not eliminate those external processing steps. Agree collection, retention, access, and provider requirements for your business before adding sensitive workflows.

Make a support request useful.

Include the approximate time and timezone, which task or call you were handling, what you expected, what actually happened, and a request reference if you have one. Explain whether it affects one request, one user, or the whole phone service.

Use your agreed private support channel for customer information. Keep passwords, PINs, provider credentials, and sensitive customer details out of public website enquiries. You can call (760) 400-7858 to request staff follow-up from BrackerTech.
